Soccer fields
For soccer fields, you can book through Singapore Sports Council (SSC):-

To get the best fields, you'll need to go online on the opening dates.
Usually, the best fields and time slots are snapped up after the opening day.
Opening dates are on the first wed of each month, at 1pm.
So far, based on players' feedback, the best time slot will be on a Sunday
Evening. Area should be central, or slightly to the East.
You need to pay online using a credit card and remember to print out the
receipt.
Opponent
Confirm the opponent of the time, location
and cost in advance. Send a reminder a day before as some team may forget
the match completely (esp if the match is held on a Saturday.) Ask the
opponent to reach 15mins before the kickoff time.
Our team
Send out email to all the players as early as
possible. (please see "players
profile" on our website). The purpose is to give them advance notice so
that it will be easier for them to plan their personal activities to avoid
any last minute clashes. Ask the team to arrive 15mins before kick off for
warm up or to practice some tactics/freekicks.
Target to confirm around 18 players 3 days
before the match. The team needs at
least 4 or 5 substitutions to be comfortable. The minimum number of players
to confirm should be 15 as 1 or 2 players are expected drop out the match
day due to some unforeseen/urgent matters. Make sure you have a goal keeper.
Work out the lineup and substitutions.
Drink plenty of water and have a good night
sleep to avoid migraine. : )
Print out the "players profile" and
bring it along during the game.
Referee
Confirm/book the referee in advance. Send him
a reminder a day before the match as referee may also forget about the game.

their referee-ing skill :-

Simon is the Mercz driver who has refereed
most of our previous games. He loves to blow for offside and will not
hestitate to issue yellow and red cards. So far he is one of the best
referee as I understand that he has overseas experience of referee-ing in a
"mini world cup" held in Australia.
I always check with Simon first. If he is not
free, he'll usually arrange for another referee to go on his behalf. You
need to confirm on the fee with him.
Leow is the guys who won the tiger beer
challenge. He is younger referee but firm. So far I had him to referee one
game and I found him quite professional.
If you book a field through referee, his
total charge (referee + field+ premium) will be around $160-200 per game.
Most of the time, I prefer to make the field
arrangement myself to save costs.
Remember, always check with the referee on
their prices before you ask them.
And also you need bring along a receipt book
for them to issue a receipt after the game.
Weather
Nothing much to do here before the game but
to pray for a good weather.
In the event of a heavy rain, the game might
be called off by SSC. SSC will only inform you around 1-2 hours before the
kickoff time if they decide to cancel the game. In this case, I'll normally
sms/call the players and opponent to sit tight at home. You'll need to sms/call
all the players and opponent to inform the if the game is cancelled.
